Transport

Getting a whole office to Kitulgala

Kitulgala is two to two and a half hours from Colombo by road, depending on where you start and the traffic. Most corporate groups leave between 6.00am and 6.30am, which puts a coach at our base by around 9am. That buys a genuine full day of activity, with most Colombo groups back in the city by early evening — same day, no overnight accommodation to arrange.

For groups over roughly twenty-five people, a coach is almost always the more practical choice: one vehicle, one departure time, one driver, and everyone arrives together. Smaller groups, or companies bringing people from more than one office, sometimes prefer two or three vans instead — more flexibility on pickup points, more coordination on the morning. We can quote coach or van transport directly, or simply work around buses your company has already arranged. Either way, tell us your pickup point and preferred departure time when we quote.

Parking at our Kitulgala base has never forced us to turn a group away, even at our largest sizes. What we do ask is how many vehicles are coming, so a coach and a support van aren't jostling for space with another group's transport. If one bus runs late on the morning, we hold the safety briefing for the group as a whole rather than splitting it. A short delay costs you time at the end of the day, not a compromised morning.

Whichever option you choose, arrival by around 9am gives the fullest possible day. Later arrivals are workable — tell us at the quoting stage and we'll resize the running order.

What staff should bring and wear

This is the single most common source of a slightly deflated morning: someone turns up in jeans, or without a change of clothes, or having left their sunscreen on their desk. None of it stops the day running, but a short internal email from you before the date solves it all in advance.

The short version: quick-dry, comfortable clothing that can get soaked and stay on — sports kit or swimwear under a t-shirt works well. Footwear needs to stay on in moving water, so secure sports sandals or old trainers are right; flip-flops are not. A full change of clothes, a towel and sun protection matter more than people expect, since the day runs outdoors in direct sun as well as in the river and rainforest.

Catering is one of two things, transport being the other, where late changes genuinely cause problems — food is ordered against a confirmed number, not an estimate.

Final numbers matter because catering is ordered directly against them. A late change on the morning itself is workable in most cases, but it's the one thing we can't always absorb without notice — tell us the moment your numbers move.

Changing rooms and secure storage

Our Kitulgala base has changing rooms and washrooms for every group, so staff arrive in one set of clothes, change into activity kit, and change back into dry clothes before boarding the bus home. Nobody travels back to Colombo wet.

Bags, phones, wallets and anything else people would rather not carry into the river go into secure dry storage for the day. This matters more for corporate groups than it sounds — a team of forty people carrying laptop bags and company phones needs somewhere those items are actually safe, not just out of sight.

For colleagues who aren't taking part — a driver, a photographer you've brought yourselves, someone managing logistics rather than participating — there's a comfortable area at base to wait, with shade and access to tea and washrooms. Tell us in advance how many non-participants are coming, so we can plan seating and catering for them too.

Weather

Rain does not cancel your day

Kitulgala sits in Sri Lanka's wet zone, which is precisely why it's rainforest rather than scrub — rain across the year is normal here, not exceptional. It doesn't stop a corporate day. Everyone is already getting wet on the river or in the canyon; a shower during the afternoon block rarely changes how the day feels.

What we plan for, rather than improvise on the morning, is a wet-weather running order — agreed with you at the quoting stage, not decided at 7am with a coach already on the road. If conditions call for it, we already know which activity swaps for which, with no scramble in front of your group.

There's a real distinction between wet weather and unsafe conditions. If the river genuinely isn't safe to run — uncommon rather than routine — we say so plainly and reschedule the affected activity rather than run a compromised version. That call is made by our own guides, on our own river, on the day, not relayed through a third party.

Headcount changes

Changing your numbers

Corporate headcounts move. People pull out, a department sends five more, someone's flight lands late. We build reasonable flexibility into every quote for exactly that reason, and small changes in the weeks before your date are normal and easy to absorb.

What changes with a late shift in numbers is specific, not vague. Transport seating — a coach booked for forty needs to know before it books forty-five. Catering, ordered against a confirmed count, as above. And, for larger groups, how we size raft crews and activity pods. A handful of people a week out is straightforward. Twenty people on the morning of the event is the one scenario where we may need to adjust the running order on the day itself.

The practical rule: tell us the moment your numbers move, in either direction. We'd always rather hear about a change early and plan around it than find out on the morning.

We don't publish a fixed per-person rate, because a twenty-person leadership day and a ninety-person staff outing are genuinely different products. These are the factors that determine what goes into your written quote.

  • Headcount — the single biggest factor, and the one everything else scales against.
  • Activity mix — rafting only, or rafting plus canyoning, zip lining or rainforest trekking.
  • Transport — whether you need coach or van charter, or are arranging your own.
  • Catering — standard buffet, plus halal, vegetarian and any allergy provision.
  • Season and day of the week — weekday and weekend availability differs, and January to March is our busiest quarter.
  • Any facilitation or structured programme requirements, if you want a formal outbound training day rather than an unstructured team day.

Invoicing and the photo pack

We invoice the company, not an individual employee. If your organisation runs on purchase orders, tell us the format your finance team needs and we'll issue against it. Payment is by bank transfer — nobody on your team should be settling a corporate booking on a personal card and claiming it back.

The photo and video pack is part of a standard day, not an add-on. We supply it after the event for your comms and HR teams to use however they need — internal newsletters, LinkedIn, noticeboards, recruitment material, or an email round-up for the department. If there's a specific shot your comms team wants — the full group photo, a particular activity, a candid moment rather than a posed one — tell us before the day. We'll make sure our team gets it.

Timing

Lead times and the financial year

Most companies give us four to eight weeks' notice, comfortable for almost any group size. Two windows are worth planning around. January to March, when unspent training and welfare budget against the 1 April to 31 March financial year needs using before it lapses. And any Saturday booking for a group of sixty or more, which benefits from earlier notice regardless of season.

January to March is our busiest period by a clear margin — the peak of financial-year-end budget spending, when Saturdays in February and March fill first. A second, smaller peak follows the Sinhala and Tamil New Year in mid-April, when new budgets open and companies want to start the year with the whole team together. December brings a third, gentler wave, driven by year-end gatherings where the brief is closer to celebration than development.

A shorter lead time is rarely a problem — we regularly turn around smaller groups on a few weeks' notice. It simply means that if you're chasing a specific Saturday in February with sixty-plus people, the earlier you get in touch, the more certain that date is.

What is included in a corporate rafting package?

A standard package includes guided rafting or your chosen activity mix, helmets and buoyancy aids for every participant, and a full safety briefing. Can you invoice our company and accept a purchase order?

Yes. We invoice the organisation rather than an individual, accept purchase orders in the format your finance team needs, and settle by bank transfer. Nobody on your team should have to pay for a corporate booking on a personal card and claim it back — tell us your PO or invoicing process when you enquire and we'll work to it.

How far in advance should we book?

Four to eight weeks is comfortable for most groups. Book earlier for January to March — our busiest period, as companies use unspent training and welfare budget before the Sri Lankan financial year ends on 31 March. Book earlier still for any group of sixty or more wanting a specific Saturday. We can often turn smaller groups around faster than eight weeks — it's always worth asking.

What happens if one of our buses is late?

We hold the start of the programme for the group as a whole rather than beginning without part of it. A short delay on the road shifts your day's timings slightly and may compress the schedule later, but nobody misses the briefing or the main activity. Tell us as soon as you know about a delay, so we can adjust the running order calmly rather than on the fly.

Will we get photos and video we can actually use afterwards?

Yes. A photo and video pack is part of a standard corporate day, supplied afterwards for your comms and HR teams to use in newsletters, LinkedIn posts, noticeboards or recruitment material. If there's a specific shot you need — the full group photo, a particular activity, a candid rather than posed moment — tell us before the day so our team can make sure it gets captured.

Do you cater for staff who are not taking part in the activities?

Yes. Drivers, photographers you bring yourselves, or anyone managing logistics rather than participating have a comfortable area to wait at our base, with shade, washrooms and access to tea.
