Enquiry-first booking
Xclusive Adventures uses an enquiry-first booking process for custom Sri Lanka trips and adventure activities. A booking is not confirmed until the agreed route, date, scope, price, and payment or deposit step have been accepted by both the traveler and the Xclusive Adventures team.
Website forms and WhatsApp messages are enquiries, not automatic confirmations.
Availability, final activity suitability, guide allocation, and route timing are checked before confirmation.
Private routes may require additional supplier, driver, guide, or accommodation checks.
Prices, inclusions, and exclusions
Prices should be confirmed in writing before payment. Proposal messages should state what is included, what is excluded, currency, payment timing, pickup and drop-off assumptions, and any supplier conditions that affect the final quote.
Activity quotes may differ from multi-day private route quotes.
Accommodation, meals, entrance fees, transfers, tips, and optional add-ons should be listed clearly where relevant.
Exchange rates, supplier costs, and route changes may affect revised proposals.
Deposits and payment
For v1, payments and deposits are handled manually after proposal acceptance. The team should send the agreed amount, due date, payment method, receipt process, and balance timing before treating a booking as confirmed.
Travelers should keep payment references or screenshots until a receipt or confirmation is issued.
Online deposit checkout can be added later for fixed activities and private route deposits.
Do not send payment until the proposed scope and official payment instructions have been confirmed.
Cancellations, weather, and safety
Adventure activities can be affected by weather, river levels, road conditions, guest ability, supplier availability, and guide safety decisions. Cancellation and rescheduling terms should be confirmed in writing for each booking type.
Guide safety decisions on the day are final for water, canyoning, hiking, and weather-sensitive activities.
The team may suggest alternative timings, activities, or route changes when conditions require it.
Travelers should disclose medical concerns, swimming ability, age mix, and relevant fitness limitations before confirmation.
Traveler responsibility
Travelers are responsible for accurate information, valid travel documents, personal insurance, health disclosure, and following guide instructions during activities.
Travel insurance that covers adventure activities is strongly recommended.
Guests should bring suitable clothing, secure footwear, medication, and any personal essentials.
Children and mixed-confidence groups should be discussed before activity selection.
